Equipment Hire Policy
This equipment hire policy was reviewed and updated on (31/07/2026) and is next to be reviewed on the (31/07/2027)
The hirer agrees to the following when hiring from Speedyslighting:
DEFINITIONS:
"Company" - Means Oliver Speed trading as Speedyslighting.
"Hirer" - Means the person, firm or company that is hiring the equipment.
"Equipment" - Means the equipment specified in the quotation, including accessories, cabling and flight cases.
"Technicians" - Means employees, agents or subcontractors of the Company supplied (if any) to operate the Equipment.
1. HIRE LENGTH: The hire will start on the (begin date) and will end on the (end date) that the hirer chooses, the hirer will receive the hired equipment on the day of the start date and is expected to return the equipment the day of the end date unless agreed otherwise in writing. Failure to do so may result in additional late charges being added to the final invoice, or invoiced additionally if payment has already been made.
2. HIRE PAYMENTS: The hirer agrees to pay full invoiced amount within the allocated time, as stated on the invoice and pay the Company. If payment isn’t paid by end date stated on the invoice the hirer will receive an email/phone call reminder about the payment. If payment still haven’t been made 2 days after the reminder, additional charges may be added to the final invoice.
3. LATE CHARGES: If a late charge is to be added to the final invoice, the invoice will be resent with the additional charges. If the invoice has already been payed at the time of the added charge being added, then an additional invoice will be sent out to be payed in full within the time period stated on that invoice. Delay in paying this charge will result on additional charges being added at the Company's discrepancy.
4. DEPOSIT: On higher value hires, a deposit of a set percentage set by the Company may be requested prior to collection of equipment.
5. DELIVERY: If the hirer chooses to have the equipment delivered to them, an additional delivery charge will be added to the invoice. 48hrs prior to the equipment going out on hire the Hirer will receive a email checking that the delivery address is still correct. This delivery charge is calculated on a per hire basis.
6. HANDING OVER EQUIPMENT: Hirers shall be entitled to possession of the equipment from the first day of the Hire date. At the end of the hire date the Hirer shall hand back the Equipment to the Company or the Company will collect the equipment if previously agreed. The Hirer will hand back the equipment in good condition and in working order, ordinary wear and tear excepted as usual. Failure to hand back the Equipment by the given date will result in late charges as written out in section 3, or legal action should the Company deem it necessary.
7. USE OF EQUIPMENT: The Hirer shall only use the equipment in a careful and proper manner and will comply with rules and regulations. Hirers have the responsibility of storing the equipment while its on hire. Improper use of the equipment can lead to early termination of the hire, with full payment still being required.
8. CONDITION OF EQUIPMENT AND REPAIR: The Hirer is to inspect the equipment before accepting possession, and on the end date, acknowledges that the equipment is in good and acceptable condition before returning the Equipment to the Company. If the equipment malfunctions or is damaged during the hire period the hirer must inform the Company before the end of the hire period. Should any equipment malfunction during the hire period, the Company accepts no liability, and should repair be needed, that charge will be added to the final invoice.
9. MAINTENANCE, DAMAGE AND LOSS: The Company will at our own expense, keep and maintain the Equipment to be clean and in good working order. If the Equipment requires repair beyond general maintenance after a hire a repair fee may be charged at a rate set by the the Company. In the event the equipment is lost or damaged beyond repair the hirer shall pay the Company the full replacement cost of the Equipment current new market value.
10. INSURANCE: The Company shall be responsible to maintain insurance on the equipment with losses payable to the Company against fire, theft, collision, and other such risks as are appropriate. This cover is only for when the equipment is under supervision by the Company, either under transport on in an event where the Company or their Technicians are present. It is the sole duty of the Hirer to provide adequate insurance for any Equipment that they hire. The Company reserves the right to request a copy of the insurance document at any time before, during, or after the hire period.
12. OWNERSHIP: The Equipment is and shall remain the exclusive property of the Company. Under no scenario does ownership
transfer from the Company unless an agreement is explicitly written out, and an appropriate charge associated with the transfer has
been received by the Company.
